Edit a Customer's Details

Managing customer records accurately is important for invoicing, communication, and reporting. This guide shows you how to edit a customer’s details in Workshop Software so your customer information stays up to date.

  • Using the main search bar in Workshop Software, type in the name of the customer you want to make changes to then double click on the name in the search results.

  • Enter any additional information you want to add about the customer or change any of the information you have entered already.
  • Once you have finished making the changes or additions click on the green ‘Save’ icon at the bottom right hand corner of the screen

Customer Details Explained

In addition to storing a Customer's contact Information their details will allow you to control stipulations such as special pricing, payment terms, if they receive SMS or Email reminders and if their account is on hold.

Customer Type and Address

FieldWhat it does
1. Payment Terms TogglePayment Terms control how payments and balances are tracked. Cash customers pay at the time of service, while Account customers can be invoiced and pay later.
2. Individual / Company ToggleIf Company is chosen the First and Last Name fields are replaced with a Company Name Field.
3. Biller ToggleCustomers set as a Biller can be used to record Payments for a Customer they are assigned to, they cannot be Invoiced directly.
4 to 5. Customer NameThe Customer's name.
6. BillerThis field is used to select from any Customers you have assigned as a Biller with toggle (3), this Biller may then record Payments for this Customer.
7 to 11. Street AddressThe Customer's street address.
12 to 16. Postal AddressThe Customer's postal address.

Primary Contact Information

17. PhoneA landline phone number for the Customer.
18. MobileThe Customer's mobile phone number, any manually created or automated SMS messages will use this phone number.
19. FaxThe Customer's fax number.
20. EmailThe Customer's Email, any manually created or automated email messages will use this phone number.
21. WebThe Customer's website url.
22. Preferred Contact MethodThe choice here defines if a customer will receive automated SMS or Email messages, if they have opted out or would prefer physical mail.

Stipulations

FieldWhat it does
23. Hourly RateIf an hourly rate is entered in this field it will replace the Retail Price used for any Labour Products Invoiced to this Customer.
24. DiscountThe discount percentage entered here will be discounted from the Retail Price of all Products Invoiced to this Customer.
25. MarkupThe percentage here will be applied as a Markup on top of the Cost Price of any Invoiced Products, this Markup replaces the Retail Price of those Products.
26. Price TypeAll Products have a Price 2, 3 & 4 field and can be assigned to Price Matrices which modify their Retail Pricing, this field is used to assign one of these alternative pricings to a Customer.
27. Payment TermsThis field is used to select from a list of payment terms available to Customers who have an Account with your business, including Payment on Delivery or X Days(End of Month) terms.
28. Customer SourceThis field may be used to record how a Customer found your business, such as from an advertising campaign or social media post. New options may be created in your Company Lists.
29. Imported IDThis ID is used when importing data into Workshop Software for linking Vehicle records.
30. Australian Business NumberThis field is used to hold a Company or Individual's ABN and may have a different name outside Australia.
31. GST Free ToggleWhen enabled any Invoice created for this Customer will not include Tax.
32. Customer Limited ToggleWhen enabled this toggle stops further work being Invoiced to a Customer's account.
33. Member NumberThis field will only appear if the Use Member Number toggle is enabled in your Company Settings and may be used for membership programs or renamed to store other information like a buyers club or insurance account.

Secondary Contacts

All Customers can have up to three alternative contacts, the Mobile Number and Email of these contacts will not be used when sending Automatic Reminders but may be used for manual communications.

34 to 35. Contact NameThe alternative contact's name.
36. PositionThe alternative contact's job title.
37. PhoneThe alternative contact's landline number.
38. MobileThe alternative contact's mobile number.
39. EmailThe alternative contact's email.
