The terms that apply to Workshop Software, our website and how we handle personal information
New terms take effect on 8 November 2026
We have replaced our terms and conditions with the set of documents below. They take effect on 8 November 2026. Until then, our current terms and conditions continue to apply.
Our legal documents
- Subscription Agreement: the contract between Workshop Software and the businesses that subscribe to the Service.
- Data Processing Addendum: how we process the information you record about your customers and staff. It forms part of the Subscription Agreement.
- AI Features Addendum: how AI features work and how your data is handled when you use them. It forms part of the Subscription Agreement.
- Privacy Policy: how we collect, use, disclose and protect personal information.
- Website Terms of Use: the terms for visitors to our website.
- Sub-processors: the service providers that process your customers’ information on our behalf.
What is changing
- Clearer documents. One terms and conditions page has become a set of documents: a Subscription Agreement, a Privacy Policy, a Data Processing Addendum covering your customers’ information, an AI Features Addendum, and Website Terms of Use.
- AI features. When you use an AI feature, only the information needed for that task is sent to our AI provider to produce a result. Neither we nor our AI provider train AI models on your identifiable data. Results are suggestions for your team to review before they are saved or sent to a customer.
- Industry insights. We can use de-identified, aggregated data to improve our products and to produce industry statistics and insights for the automotive trade. It never identifies you, your staff or your customers, and we do not publish insights drawn from fewer than 10 workshops or 100 transactions.
- Your data. You own your data. You can export it at any time while you subscribe, and after a paid subscription ends we keep it for up to 12 months so you can come back.
- Changes and pricing. We give at least 30 days’ notice by email of any material change to the terms or any price increase. A price increase only applies from your next billing period, never to one you have already paid for.
- Privacy. The Privacy Policy now covers workshops in Australia, New Zealand, the UK, Europe and the US, including where your data is stored and which service providers process your customers’ information.
