Workshop Software vs Shop Boss
Shop Boss was started by a former shop owner, Chris Boshaw, who wrote the first line of code in 2008 and launched it as a web-based system in 2012. It is based in Knoxville, Tennessee, sells to independent US shops, and is now part of Vehlo. Workshop Software has been building automotive software since 1992, released its first version in 2013, and runs more than 9,400 users across five countries.
Shop Boss publishes its pricing in full, which is unusual in this market and makes this a straightforward comparison. The differences worth your attention are how users are charged, which accounting packages connect, and whether technical data is included.

Where Shop Boss Wins, and It Is Worth Saying Plainly
Unlimited users on every plan. If you run a large shop with a dozen people who all need logins, a flat monthly rate beats per-user pricing, and it beats it by more the bigger you get. That is a genuine structural advantage and no amount of framing changes it.
They also publish their pricing openly, which we respect and which makes them easier to evaluate than most of this market.
Where the Costs Diverge
Shop Boss starts at $179 per month billed yearly against our $149, so the entry gap is modest. Two other things move the total. Their CRM and online service scheduler is a $249 per month add-on, which is more than their own entry plan, and data migration is quoted separately at $399 or $899. Workshop Software includes onboarding and does not charge separately for online bookings.
Work out your own numbers on the plan you would actually buy, with the features you actually need. Depending on user count, either of us can come out ahead.
Accounting
Both connect to QuickBooks Online, which Shop Boss added in 2023. Xero is not named among their published integrations. If your books are in Xero, that is the question to settle before anything else, because it is the one that creates permanent double entry if you get it wrong.
Vehicle Technical Data
Workshop Software offers manufacturer technical data through PartsTech from USD $60 a month. Shop Boss does not confirm included technical data in its published material, and its named integrations are parts and inspection tools rather than repair data. If manufacturer repair times and procedures inside the job card matter to you, ask them directly what is included and what costs extra.
Which Should You Choose?
Choose Workshop Software if your books are in Xero, you want manufacturer technical data available at a known price rather than not offered at all, you want online bookings without a monthly add-on, you want onboarding included, or you operate outside the United States.
Shop Boss may suit you better if you have a large team and unlimited users at a flat rate saves you real money, you are settled on QuickBooks, and you operate only in the United States. At enough seats their pricing model simply wins, and we would rather you did that arithmetic than took our word for it.
If the accounting connection or manufacturer technical data matters, the fastest way to settle it is to run your own jobs through the software for a fortnight. See pricing or start a free trial.
