Workshop Software has been building automotive software since 1992, released its first version in 2013, and runs more than 9,400 users across the world.
Start with the criteria, not the shortlist
Most shortlists get built the wrong way round. Someone collects five names, sits through five demos, and only then works out what actually matters. Six things decide whether workshop software fits, and they are worth settling before you book a single call.
1. Does it connect to the accounting package you already use?
This is the question that quietly kills more implementations than any other. If your books are in QuickBooks and the system only speaks Xero, someone is doing double entry forever. Workshop Software connects natively to Xero and QuickBooks Online on every plan, in every country we operate in. Several systems in this market support only one of the two, and a few support neither.
2. Can you try it before you talk to a salesperson?
A 14 day free trial with no card and no call tells you more in an afternoon than a scripted demo tells you in a week. Some of the best funded systems in this market will not let you in without a sales conversation first. That is a choice they have made about their sales model, and it is worth noticing what it implies about the commitment they expect from you.
3. What are you signing, and what does it cost to start?
Look for three things: the published price, the onboarding or setup fee, and the contract term. Workshop Software publishes its pricing in Australian dollars, US dollars, pounds and rand, includes onboarding at no cost, and works month to month. Where a competitor does not publish pricing, that is not necessarily a problem, but you should find out why before the third meeting.
4. Do you get manufacturer vehicle technical data inside the job?
Repair times, wiring diagrams, service schedules and torque figures inside the job card rather than in a separate subscription and a second browser tab. Workshop Software offers WorkshopData, built on HaynesPro manufacturer-verified data, as an add-on. Most general shop management systems leave you to buy this separately.
5. Does the mobile app run the actual job, or just look at it?
Plenty of systems ship an app that shows you todayโs bookings. Fewer let a technician run the whole job from the bay: photos, inspections, notes, times, parts, customer approval.
6. When something breaks at 4pm on a Friday, who answers?
Workshop Software runs 24 hour, 7 day human online chat, and support is included rather than sold as a tier. Ask any vendor what happens outside their local business hours, and whether faster support costs more.
The honest version: no workshop system wins on all six for every shop. If you run heavy-duty truck fleets, or you operate a workshop alongside two unrelated businesses, something below will suit you better than we will. Where Workshop Software is usually the stronger fit
Being specific is more useful than claiming to win everywhere. We tend to be the better answer when:
- Your books are in QuickBooks Online or Xero. Both are native, on every plan, in every market. This narrows the field faster than any other single question.
- You want manufacturer technical data in the job card. WorkshopData with HaynesPro data is available as an add-on, so you are not signing with a second vendor to get it.
